Organisation Management

Organisation Management provides a means of representing the traditional brick and mortar organisations in the electronic world through a registration and approval process that verifies the identity of the Organisation Manager (the person applying to represent the company electronically), hence providing the organisation with access to Government eServices. All this is based on the identity of the citizen that is created through the Citizen Management registration and authentication process. This offers the citizen the opportunity to have a unique eID for different purposes, eliminating the need to have several different user names and passwords for the various organisations being represented.

Providing the opportunity for organisations to more effectively work and transact with governmental institutions, Organisation Management enables:

Organisation Registration

For an organisation to be registered within the eID database, the process needs to be initiated by an eCitizen, that is a citizen with an eID account, who will act as the legal representative of the organisation being registered. The eCitizen has to be either the director of the organisation being registered or an individual in possession of the power of attorney with respect to the organisation in question. The eCitizen conducting the organisation registration can either apply online or visit a local registration office.

Organisation Verification

Following the organisation registration process, the application is verified and if approved, the organisation will be registered within the eID database.  As a result, the eCitizen who applied for organisation registration is assigned the role of an Organisation Manager.  Subsequent to organisation verification, more Organisation Manager roles can be assigned to the organisation in question.

Organisation Employee Management

Registered within the eID database, an employee group can be created and individual employees can then be specifically assigned to the employee group. The organisation manager has the right to associate eCitizens, who are employees of a respective organisation, to that organisation and assign specific eServices to the respective employees.  Such a process will make the eCitizen an organisation employee and thus assigned the organisation employee profile.

Organisation Profile Management

All information relating to the organisation – such as the legal name and type of organisation, organisation’s official logo, company shareholding information, date of registration and registration number – is stored in one central profile within the eID organisation database and managed by the Organisation Manager. The Organisation Manager can modify the organisation information and approve organisation employee associations and eServices assignments.

Organisation e-Services Access

Following the verification by the Organisation Management Authority, the eCitizen acting as the organisation manager will be in a position to request an eService from all available online services provided for the organisation he/she manages.

Statistical Reporting

Apart from the statistical analysis on organisation registration and approval processes, such as the number and type of organisation registrations, the solution offers the capability of organisation history reporting.  Such a capability enables the tracking of all the changes occurring to the organisation account over a specified time period.
